The practice manager is the heart of our team. The primary purpose and function of the practice manager is to manage the hospital and ensure that we provide the highest quality of veterinary care to our patients, exceptional customer service to our clients, drive revenue and manage costs, create a positive and upbeat hospital culture and free the doctors of the day to day operations giving them the opportunity to maximize production. The successful candidate will also be responsible for maximizing both employee engagement and the productivity of the veterinary medical team.
In partnership with the practice owner, the practice manager ensures good communication with clients, associates, and employees to optimize growth of the business. The practice manager also partners with the practice owner to operate an effective and productive hospital team, ensure a safe and engaging hospital environment, and improve both the medical quality and business performance of the hospital.
There will also be times the practice manager will need to function in the practice as a veterinary technician, assistant, receptionist, or a combination thereof.
ESSENTIAL DUTIES & RESPONSIBILITIES
4 area of Responsibility detailed as follows:
Administrate all human resource functions including staff recruitment, hiring, training, scheduling, performance evaluations, counseling, and terminations for all onsite and ambulatory teammembers. Manage annual performance evaluations. Responsible for performance evaluations for supervised staff. Handle fair and consistent discipline to employees as necessary as well as all related documentation Develop, implement, and maintain Employee Safety and Disaster Plan procedures and manuals. Assure compliance with OSHA reporting logs and Workers’ Compensation programs. Distribute all necessary communication materials with staff, including policy changes, relevant information discussed at meetings, and client feedback. Complete all required paperwork for new employees. Maintain confidential employee and benefit files and update as needed. Other duties as assigned.
Design and oversee inventory tracking, purchasing and management within budget guidelines. Set protocols that support the best use of hospital supplies to minimize waste. Create and train controlled drug standards in accordance with the DEA regulations and with the input of the DEA licensing purchasing veterinarians in the hospital. Reconcile inventory purchased vs inventory sold. Other duties as assigned.
General Hospital Management
Respond to client concerns in a timely and appropriate manner. Resolve medical client complaints in partnership with the practice owner. Assure premises, plant and equipment are in safe, clean and optimum working condition, including the scheduling of regular maintenance. Supervise that all maintenance is performed correctly. Manages a fleet of vehicles and trailers; assures maintenance is performed on vehicles, trailers and other equipment. Assure compliance with all regulatory issues including radiation monitoring, business permits and licenses, and animal control ordinances. Be able to plan, market and coordinate the provision of health care educational and support programs (i.e. pet loss support group, puppy events, etc.) Develop, recommend, implement and evaluate marketing strategies. Maintain, and when necessary, amend client education handouts. Schedule and attend all required meetings, including staff meetings;follow up with memos and/or handouts. Oversee appointment scheduling to accommodate case loads and ensure client needs are being met. Administer the hospital’s patient reminder system. Monitor the hospital email. Manage the hospital practice management system. We are using Neo. Complete additional hospital projects as assigned.
Participate in the yearly budgeting process, monthly P&L reviews and discuss weekly financial reports with the lead doctor. Proactively monitor financial progress of hospital, analyze results, and adjust, if necessary, to ensure all budget goals are achieved. Carry out or delegate the end-of-day paperwork and deposits. Create accountability trail between front desk through to the bookkeeper for check and balance system. Submit capital expense requests. Manage bi-weekly payroll process. Oversee daily cash and check deposits and manage local banking relationship. Other duties as assigned.
In addition, the Practice Manager may work scheduled shifts during which he or she will be responsible for providing client service and/or direct patient care.

About VETERINARY PREVENTIVE CARE LLC
We are a small animal veterinary practice that was specifically a mobile preventive care practice until Covid 19. As a result of the pandemic, we have been forced to pivot the practice to a stand alone mostly full service hospital. In essence, we are a new start up with the benefit of our goodwill from the mobile clinics. Our mobile clinics are still active but at a fraction of the locations we used to attend around the state. Clinics currently are hosted in Dayton and Cincinnati on the weekends with the stand alone portion of the practice open Monday-Friday in Beavercreek.
